The client:
Established in 2000, Kaseya is the leading global provider of AI-powered cybersecurity and IT management software for managed service providers (MSPs) and small to mid-size businesses (SMBs). True to their name, which translates to “protect and defend” in Sioux, Kaseya offers efficient, secure, and cost-effective tools. This industry leader is majority-owned by Insight Partners and even holds the naming rights to the home of NBA’s Miami Heat, the Kaseya Center.
The challenge:
Kaseya’s 1,300-strong sales force juggles dozens of products, relying on Microsoft Power BI for generating reports and dashboards. While their loyalty lies with Microsoft tech, Power BI’s email functionality fell short for Kaseya’s extensive reporting needs. Previously, the company dedicated a significant force – dozens of employees – to manually crafting PowerPoint presentations with screenshots from Power BI reports, an approach that proved inefficient and time-consuming, further hampered by issues delivering reports via email.
Kaseya sought a solution to expedite report delivery in PowerPoint format, ideally automating the entire process, and free up valuable employee resources for more strategic tasks.
The solution:
While googling a solution, Kaseya discovered PowerBI Tiles Pro, a DevScope product that integrates Power BI with Office 356. This integration allows users to seamlessly embed their reports into PowerPoint presentations, Word documents, and even Outlook emails.
Kaseya has a weekly business review meeting with a large attendance comprised of sales representatives, specialists, managers, directors and VPs where metrics are presented on PowerPoint using PowerBI Tiles Pro. Besides sales, the tool is also used by people in Support and around R&D.

While PowerBI Tiles Pro significantly cut Kaseya’s PowerPoint prep time to mere hours, the company sought to further streamline the report sharing process.

Kaseya equipped its sales reps with standard Salesforce reports, while managers had access to comprehensive metrics on Power BI. Expanding Power BI to the entire team proved cost-prohibitive, but it was crucial to empower reps with data-driven insights. After exploring macros and Power BI’s email functionality, Kaseya discovered DevScope’s PowerBI Robots – a Robotic Process Automation (RPA) solution – which automates the scheduling and email delivery of Power BI reports, directly to sales reps.

PowerBI Robots streamlines report delivery for Kaseya. It automates the scheduling and email distribution of sales reports, ensuring timely delivery to every registered sales rep. The system can even send personalized reports with applied individual filters, guaranteeing each rep sees only the data relevant to them.
Results:
PowerBI Tiles Pro revolutionized Kaseya’s report creation process. It eliminated the need for manual insertion of high-resolution Power BI screenshots into PowerPoint presentations, saving dozens of employees from a repetitive weekly task.
PowerBI Robots took report sharing to the next level allowing Kaseya to send around 3,000 emails with Power BI reports every day to hundreds of sales representatives at no additional cost. Kaseya currently runs PowerBI Robots on 3 servers, with plans to scale up for even wider distribution.
